Privacy Policy

Valim Inc is a US tax firm. This policy explains what we collect when we prepare your return or advise you, how we protect it, and the strict limits on what we may do with it.

1. Who this policy covers

This policy applies to individuals and businesses who engage Valim to prepare, review or file a tax return, or to provide tax advisory, and to visitors of valim.tax. Where Valim acts as an operational tax partner to another firm, that firm remains the client of record and this policy applies to the taxpayer data we process on their behalf.

2. Information we collect

2.1 Information you give us

To prepare a return we necessarily collect the information a return requires. This includes identifying information such as your name, address, date of birth, Social Security Number or ITIN, and the same for your spouse and dependants; income and financial information including W-2s, 1099s, K-1s, brokerage statements, mortgage interest statements and business records; and any documents, questionnaires, messages or voice notes you send us.

For business engagements this also includes entity formation documents, ownership and shareholder details, payroll records and books of account.

2.2 Information collected automatically

When you use valim.tax or the client portal we collect standard technical information: IP address, browser and device type, pages viewed, and referring source. We use analytics to understand how the site is used. We do not use this information to build advertising profiles.

2.3 Information from third parties

With your authorisation we may receive information from the IRS or a state authority, from a prior preparer, or from a partner firm that referred you.

3. How we use your information

We use your information to prepare, review, sign and file your returns; to provide tax advisory; to respond to notices from the IRS or a state on returns we filed; to communicate with you about your engagement; to quote and bill for our services; and to meet our own legal, regulatory and professional obligations as a tax return preparer.

4. Tax return information is specially protected

Internal Revenue Code section 7216 and section 6713 restrict what a tax return preparer may do with tax return information. Under those rules we may use and disclose your tax return information to prepare your return and for the limited purposes the regulations permit. For anything else we must obtain your written, informed consent in advance, in the specific form the regulations require.

We do not sell tax return information. We do not disclose it for marketing. We do not use it to market other products to you without the separate consent those rules demand.

5. When we share information

We share your information only in these circumstances: with the IRS and state tax authorities in order to file your return and respond on your behalf; with the electronic filing transmitters and service providers who process filings; with service providers who host our infrastructure and communications under written confidentiality and security obligations; with a partner firm where that firm engaged us on your behalf; with your explicit authorisation; and where compelled by law, subpoena or court order.

We do not sell your personal information, and we do not share it with data brokers or advertisers.

6. Artificial intelligence and your data

Valim uses automation to extract and organise information from the documents you provide, so that our CPAs spend their time on judgement rather than data entry. This processing happens inside our own controlled environment.

It is our strict policy that no client data, metadata or derived data is ever used to train or fine-tune any artificial intelligence model, whether ours or a third party's. Every return is reviewed and signed by a licensed US CPA. No return is filed on the output of automation alone.

7. How we protect your information

As a tax return preparer Valim is a financial institution under the Gramm-Leach-Bliley Act and maintains a Written Information Security Plan in line with the GLBA Safeguards Rule and IRS Publication 4557. Our WISP is published at valim.tax/wisp.

In summary: data is encrypted in transit using TLS and at rest using AES-256; production systems run in a private, logically isolated cloud environment located within the contiguous United States; internal access follows least privilege and is restricted to named, authorised personnel; and access is logged.

No system is perfectly secure. If a breach affects your information we will notify you and the relevant authorities as required by the applicable federal and state breach notification laws, and by IRS guidance for tax professionals.

8. How long we keep it

Tax return preparers are required to retain copies of returns and supporting records for a minimum period set by federal law, and professional standards require us to keep records of the work behind a signed return. We therefore retain your engagement records for at least the period required by law, and longer where an open matter, notice or audit makes it necessary.

Where you did not proceed to an engagement, we retain what you sent us only as long as needed to answer your enquiry and to meet our own record-keeping obligations. Quotes generated on this site expire 30 days after they are issued.

You may request permanent deletion of data we are not legally required to retain. Where deletion is possible, the data is cryptographically erased.

9. Your rights

You may request a copy of the personal information we hold about you, ask us to correct information that is wrong, request deletion of information we are not required to keep, and withdraw a consent you previously gave. Contact us at hello@valim.tax and we will respond within the time the applicable law allows.

Residents of California, and of other states with comprehensive privacy laws, may have additional rights including the right to know, to delete, to correct, and to opt out of sale or sharing. Valim does not sell or share personal information as those laws define it. Exercising any of these rights will never result in discriminatory treatment.

10. Children

Valim does not provide services directly to children. We do process information about dependants, including minors, where it is necessary to prepare a client's return, on the instruction of the parent or guardian who engaged us.

11. Changes to this policy

We will post any change to this policy on this page and update the effective date above. Where a change materially affects how we handle your information, we will tell you directly.
